Start by separating the software from the service.

An AgencyZoom license pays for access to the software and the features in your plan. A consulting or administration service pays for people to configure, organize, train, and help maintain the way your agency uses it. Insurance CRM Pros does not resell an AgencyZoom license as part of the $250 management plan. Your software subscription remains separate.

Compare three different types of help.

A one-time implementation typically describes a defined setup or set of deliverables. Hourly assistance is usually purchased for a question, training session, or a specific change. Ongoing administration gives the agency a place to bring requests as staff and processes evolve. These models can all be useful, but they are not interchangeable. Ask exactly when each provider’s responsibility ends.

Put the recurring work on the estimate.

The initial setup may be the most visible work, but it is not the only work. A new producer needs access and training. A vendor changes its lead format. The agency wants to adjust a quote follow-up. Include those situations in your comparison so a lower initial fee does not hide the cost of operating the system later.

  • Does the quoted scope include staff training and new-hire onboarding?
  • Are later pipeline and automation changes included?
  • Who investigates a failed integration?
  • What are the support hours and response expectations?
  • Are there limits or separate charges for custom development?

What the Insurance CRM Pros plan costs.

Our administration service is $250 per agency per month, with no Insurance CRM Pros setup fee and no per-user service fee. Setup assistance, ongoing configuration, automation support, supported integration assistance, optimization, team training, and support access are included. At the same monthly price, twelve months of the service totals $3,000, before separate software and provider charges. This is an illustration of twelve monthly payments, not a statement that a twelve-month commitment is required.

What remains outside the management fee.

Budget separately for your AgencyZoom license, AMS, communication tools, lead vendors, and any automation platform or usage charges. We do not mark up those subscriptions. Work outside supported CRM administration, such as separately scoped custom software, is not automatically included. We discuss feasibility and scope before asking you to commit to additional work.

Ask for a useful proposal, not a promise of everything.

A clear proposal names the outcome, dependencies, responsibilities, and expectations. It should tell you what the provider needs from your agency and what happens after the first configuration is complete. Ask for an example of how a future change would be handled. Be cautious about assuming that “support” means an immediate, continuously staffed live response unless the agreement explicitly says so.

AgencyZoom plan pricing and included capabilities can change and may vary by agency type or billing arrangement. Check the provider’s current offer before calculating your total cost. We avoid publishing unsourced competitor price comparisons; if you are comparing proposals, bring the scope and we can help you understand which work our monthly service covers.
